1. Booking & Session Details

• Session dates and locations will be agreed upon at the time of booking. All bookings are subject to availability.
• A booking is considered confirmed once the required booking fee has been received and confirmation has been provided by Florence & Rose Photography (“the Photographer”).

2. Session Fees & Payment Terms

• Session pricing will be confirmed at the time of booking and outlined on the client invoice.
• A non-refundable booking fee is required to secure your session date in the Photographer’s diary.
• The remaining balance is due no later than 7 days prior to the session date unless otherwise agreed in writing.
• Payment is accepted via bank transfer (BACS) or cash.

Late Payments

If payment has not been received by the due date, the Photographer reserves the right to:

• Withhold delivery of images until full payment is received
• Apply a late payment fee where appropriate
• Cancel or postpone the session if payment remains outstanding

3. Travel

• Travel within a reasonable distance of the Photographer’s base location is included in the session fee.
• Additional travel expenses may apply for locations outside this area. Any applicable charges will always be discussed and agreed upon in advance.

4. Package Details

• Package inclusions, image quantities, products, and pricing will be outlined on the client invoice or booking confirmation.
• Additional prints, albums, wall art, and digital images may be available for purchase separately unless otherwise stated.

5. Scheduling & Availability

• The Photographer will make every reasonable effort to accommodate preferred dates and times; however, availability cannot be guaranteed.
• Sessions are generally scheduled on weekdays, with limited weekend availability due to family and personal commitments.
• Weekend sessions may be offered at the Photographer’s discretion and may incur an additional fee.
• In the event that the Photographer is unable to attend due to illness, emergency, or circumstances beyond their control, every reasonable effort will be made to reschedule the session.

6. Session Participation

• Sessions are intended for the individuals agreed upon at the time of booking.
• Any additional participants or attendees should be discussed with the Photographer in advance, as additional fees or changes to session planning may apply.

7. Cancellations & Rescheduling

• If the Client needs to cancel or reschedule a session, as much notice as possible is appreciated.
• Where rescheduling is required due to illness, emergency, or circumstances beyond the Client’s control, the Photographer will make reasonable efforts to offer an alternative date, subject to availability.
• Booking fees are non-refundable in the event of cancellation.

8. Health & Safety

• The safety and wellbeing of all clients is extremely important.
• The Photographer reserves the right to stop or reschedule a session if conditions are considered unsafe or unsuitable.
• Clients agree to notify the Photographer as soon as possible if any participant is unwell with symptoms of contagious illness prior to the session.
• Likewise, if the Photographer is unwell or unable to attend due to illness or emergency circumstances, the session will be rescheduled at the earliest suitable opportunity.

9. Image Delivery

• Edited digital galleries will be delivered within the timeframe discussed at booking, typically within 2–3 weeks unless otherwise stated.
• Images will be delivered via an online gallery.
• The number of final edited images provided will depend on the package selected.

10. Editing & Artistic Style

• The Photographer will edit all final images in line with their signature artistic style.
• Minor retouching may be included at the Photographer’s discretion. Additional editing requests may incur an extra charge.
• RAW (unedited) files are not available for viewing or purchase.
• The Photographer retains full creative control over the editing and final presentation of images.

11. Copyright & Image Use

• All images remain the copyright of Florence & Rose Photography.
• Clients are granted a non-exclusive licence for personal use of the final edited images, including printing and sharing on personal social media platforms.
• Images may not be altered, edited, sold, entered into competitions, or used for commercial purposes without prior written permission from the Photographer.

Marketing & Portfolio Use

• The Photographer may use selected images for portfolio display, website content, social media, competitions, marketing, and promotional purposes.
• Clients who do not wish for their images to be used in this way must notify the Photographer in writing prior to the session date.

12. Liability

The Photographer will take all reasonable care in relation to the performance of services and the handling of digital files and products.

However, the Photographer shall not be held liable for circumstances beyond their control, including but not limited to:

• Illness
• Severe weather
• Venue restrictions
• Accidents
• Equipment failure
• Other unforeseen events

In the unlikely event of total photographic failure or loss of images, liability is limited to a refund of monies paid or rescheduling of the session where possible.

13. Acceptance of Terms

By booking a session with Florence & Rose Photography, the Client confirms that they have read, understood, and agreed to these Terms & Conditions.
