Booking Your Session

• Newborn sessions are provisionally booked using your estimated due date and confirmed once your baby has arrived.
• Sessions are ideally photographed within the first 5–28 days after birth, when babies are typically sleepier and naturally curled.
• To help ensure availability within this timeframe, clients are kindly asked to contact Florence & Rose Photography as soon as possible following baby’s arrival.

Session Fees & Payment

• Session pricing and package details will be confirmed at the time of booking and outlined on your invoice.
• A non-refundable booking fee is required to secure your session in the Photographer’s diary.
• The remaining balance is due no later than 7 days before the agreed session date unless otherwise agreed in writing.
• Payment is accepted via bank transfer (BACS) or cash.
• Where payment is made in cash, this must be paid in full at the beginning of the session prior to photography commencing.

Late Payments

If payment has not been received by the due date, Florence & Rose Photography reserves the right to:

• Withhold delivery of images until payment is received in full
• Apply a late payment fee where appropriate
• Cancel or postpone the session if payment remains outstanding

Travel

Travel within a reasonable distance of the Photographer’s base location is included within the session fee.

For locations outside this area, additional travel expenses may apply. Any applicable travel charges will always be discussed and agreed upon in advance prior to booking confirmation.

Package Inclusions

• Full details of your chosen package, including image quantities and any included products, will be outlined on your invoice or booking confirmation.
• Additional prints, albums, wall art, or digital images may be purchased separately unless otherwise stated.

Availability & Scheduling

• Due to the unpredictable nature of newborn arrivals, session dates remain flexible around your baby’s birth.
• Sessions are generally scheduled Monday to Friday, with morning appointments preferred where possible. Weekend availability is limited due to family and personal commitments and may be offered at the Photographer’s discretion.
• If your baby’s arrival coincides with a scheduled holiday or unavoidable absence, every reasonable effort will be made to offer the closest available alternative session date within the newborn window.
• In exceptional circumstances, including illness or unavoidable rescheduling, the Photographer will make every reasonable effort to accommodate clients within availability.

Who Is Included

• Newborn sessions include immediate family members only, including parents and siblings.
• Pets may be included where agreed in advance.
• Any additional family members, including grandparents or extended relatives, must be discussed prior to the session and may incur an additional fee.

Session Style & Safety

The safety and wellbeing of your newborn and family is always the Photographer’s highest priority.

Sessions are baby-led, relaxed, and focused on natural connection and genuine moments.

During the session, the Photographer will:

• Maintain good hygiene practices and work in a clean and safe manner
• Use a gentle, baby-led approach
• Never force unsafe or uncomfortable posing
• Allow plenty of time for feeding, changing, settling, and soothing
• Avoid any setups or props that may compromise baby’s safety

At no point will a baby be left unsupported or unattended.

The Photographer reserves the right to adjust or discontinue any pose or setup if it is considered unsuitable for your baby’s comfort, safety, or temperament.

Illness & Rescheduling

• If the Photographer, or anyone within the Photographer’s household, is unwell with symptoms of contagious illness, the session will be rescheduled to protect the health of your newborn and family.
• Likewise, if the newborn, parents, siblings, or any household members are unwell, clients agree to notify the Photographer as soon as possible so the session can be rearranged.
• No additional fees will apply for rescheduling due to illness.
• If the session is cancelled entirely, the booking fee remains non-refundable.

Image Delivery

• Edited digital galleries are typically delivered within 2–3 weeks of your session via an online gallery unless otherwise stated.
• The number of final edited images included will depend on your selected package.

Editing & Artistic Style

• All final images are carefully edited in Florence & Rose Photography’s signature style.
• Minor retouching may be included at the Photographer’s discretion, including softening temporary newborn features such as flaky skin, scratches, redness, or baby acne where appropriate.
• Additional retouching requests or colour changes will incur an extra fee.
• RAW (unedited) files are not supplied under any circumstances.
• The Photographer retains full artistic control over the editing and final presentation of images.

Copyright & Image Use

• All images created during the session remain the copyright of Florence & Rose Photography.
• Clients are granted a non-exclusive licence for personal use of their final edited images, including printing and sharing on personal social media platforms.
• Images may not be altered, sold, or used commercially without written permission.

Marketing & Portfolio Use

The Photographer may use selected images for portfolio display, website content, social media, competitions, marketing, and promotional purposes.

Clients who do not wish for their images to be used in this way must notify the Photographer in writing prior to the session date.

Liability

• The Photographer will take all reasonable care during the session and in handling digital files and products.
• However, Florence & Rose Photography cannot be held liable for circumstances beyond reasonable control, including illness, weather conditions, equipment failure, accidents, natural events, or unforeseen disruptions.
• In the unlikely event of technical failure or complete image loss, liability is limited to rescheduling the session where possible.

Agreement

By booking a newborn session with Florence & Rose Photography, clients confirm that they have read, understood, and agreed to these Terms & Conditions alongside the general business Terms & Conditions.
